Personal Data Held for clients of Proprius Pilates Ltd and Proprius Therapies Ltd

As a Pilates Studio and Soft Tissue Therapy Clinic it is necessary for the safety, care and wellbeing of our clients for us to collect and retain data relating to those we are treating or that are under our instruction in classes or prescriptive exercise sessions.


The ‘Lawful Basis for Processing’ for Proprius Pilates Ltd and Proprius Therapies Ltd is:

‘Legitimate Interests’.

The ‘condition for processing special category data’ under Article 9 of the GDPR for Proprius Pilates Ltd and Proprius Therapies Ltd is:

(h) ‘processing is necessary for the purposes of preventive or occupational medicine, for the assessment of the working capacity of the employee, medical diagnosis, the provision of health or social care or treatment or the management of health or social care systems and services on the basis of Union or Member State law or pursuant to contract with a health professional and subject to the conditions and safeguards referred to in paragraph 3.’


This data is collected by way of our Health Screening Questionnaire which is completed pre treatment and/or pre class.  Contact details are collected/updated on a regular basis by way of our enrolment form which is completed at the beginning of each half term.

Personal Information collected includes, or can include:

  • General Information: Name, contact details
  • Emergency contact details
  • Medical History and health details

Including, but not limited to: MRI images, X-Ray images, Medication Prescription list

  • Treatment notes
  • Assessment notes


Data is held whilst clients are ‘active’ i.e. attending Pilates classes or prescriptive exercise sessions or receiving treatments from a soft tissue therapist and, in order to meet the requirements of our insurance, for a minimum of 7 years following a client’s last treatment, session or class.


Information we hold is kept safe and confidential and is shared with those working for or on behalf of the above named companies only.  It is not shared with others, unless necessary in the course of business, such as a medical referral or if required by our insurers or by law.


Data held is to enable the provision of service to our clients whilst ensuring their safety and wellbeing; it is not used for future marketing or sales purposes, unless we have their consent to do so.
